I MEMORANDUM
' TO: Mayor and City Council
FROM: Don Ashworth, City Manager
' DATE: October 5, 1995
' SUBJ: Establish Insurance Committee Membership
' For the past 15+ years, the City of Chanhassen has used an Insurance Committee to select an
agent of record, review coverages, select alternatives for bidding, and finally, to select the
' companies submitting the lowest responsible bids for our general liability and workmens
compensation coverages.
' This past year was unusual in that 1) the number of companies potentially being considered as
agent of record has increased dramatically, and 2) one of the three committee members died and
another moved — neither of which being me who is the third member of the committee.
' Advertisements for their replacements were published both last year and this year. Both of the
people who applied (one last year and one this year) have conflicts of interest.
' Bids should be taken within the next 30 -60 days to ensure that coverages can be put in place
` effective January 1. To ensure long term stability of the Insurance Committee while not having
it solely staff based, this office would recommend that the Insurance Committee consist of the
' City Manager, a representative of the city's auditors office (Deloitte & Touche), and one
representative from the city attorney's office (Campbell, Knutson, Scott & Fuchs).
