Eleven alternate bids, me uding both:�additions and s a deletions, were taken as a x�f the bid process. I have not listed the pleyer ' alternates 'as most of them represented items whiMMected., the Puildmg p .hose; and as the school district has the lion's share of the overall buil&gAl! types of decisions are best left to the school district. I should note that add alternates Are approved by the school board in the amount of $ 344,700.. Included in the alternate the city's park shelter building (picnic shelter, restrooms, warming house, concession stand and storage.areas) in the amount of $251,000. The school board's approval of this item was solely to ,ensure that the city would have the option of approving this item or not. I should also note that the Bor -Son alternate bid for the park shelter building was the lowest of all of the bidders with some of the companies bidding approximately $100,000 higher for this one item. MEMORANDUM Mayor and City Council May 18, 1994 Page 2 ' The original project budget for the city's 20 acre site and the construction costs for the community center portion of the building located on the school district property was $350,000 ' for earthwork and $2.2 million in building costs for a total of $2,550,000. Using the actual low bid for grading and the bid of Bor -Son, plus the add alternates, produces a final cost estimate to the city of $2,589,000. The overage of approximately $39,000 does not take into ' consideration that a 4% reserve has been set for the overall project, i.e. $375,559 or approximately $90,000 to be used as the city sees fit. I should also note that none of the budgetary work that has been completed to date has included any costs associated with ' furnishing for the new facility. I do not anticipate having a problem in being able to fund those costs, but I wanted to ensure that the council was alerted to the fact that a future allocation would be sought for furnishings. Approval of the low bid of Bor -Son Construction in the amount of $8,350,000 including add alternate #4 (flooring) -- $80,000; deleting alternate #7 (emergency power)- -minus $19,300; and adding alternate #10 (park shelter building) -- $251,000 is recommended. The council may wish to add to that motion stating that, "the award is being made on the basis that the city's portion of the overall construction costs shall not exceed $2,360,000." n 0 1
