Toro 580 D Mawer $49,980.00 rMotorola Communications Three (3) 2-Way Radios $ 2,250.00 r There is $199,000.00 budgeted in the 1991 Vehicle/Equipment Replacement Fund #209 for this equipment and vehicles. The total of the vehicles and equipment bid including tax for the licensed vehicles is $163,443.00. We were given very good trade-in allowances on the dump truck, pick-up and tractor with mower and II snowblower being traded in. There are 2 pieces of equipment needed and hope- fully to be purchased in the near future that would be also funded fran the $199,000.00: about $4000.00 to replace the old rear mount flail mower and to purchase a packer trailer for around $3500.00. With these 2 additional purcha- ses we would still have over $28,000.00 remaining fran the budgeted amount in the Equipment Fund. r II IIASSISTANT CITY ENGINEER'S COMMENT Harold and I have discussed this item and I am in full agreement I with the recommendation to award the bids accordingly. The total cost for the aforementioned purchases is approximately 18%_ less than that was previously estimated and budgeted for. IThere are three ( 3 ) vehicles yet to be acquired from the 1991 budgeted Equipment Replacement Fund #209 . Based on estimated costs and the revenue remaining in the fund, I am confident that Ithe monies will more than cover these forthcoming budgeted purchases . I I would like to congratulate Harold on the success of the bids . His time and effort in preparing detailed and explicit vehicle and equipment specifications enhanced the City' s opportunity to Ireceive quality bids . lap I Attachments: 1. During any five year period, since origination of this fund, costs have approximated 2% of the valuation of property within the community (the rela- tionship between property sewered, streets/utilities, and equipment necessary for property/public improvements served is highly predictable). The City completes a debt analysis study each year to insure that the debt structure of this fund stays within the 2 mill guideline and that overall debt stays within 8 mills. Jib I Gary Warren December 13, 1990 Page 2 DIRECTOR OF PUBLIC WORKS' COMMENT • Harold and I have talked frequently about the lead time involved in acquiring equipment in time for the seasonal use. Although the Council has not had the opportunity to specifically approve the Equipment Replacement Fund for the 1991 budget (see attached) , the 1991 expenditures have been prepared consistent with the 2 mill guideline as in previous years. Specific elements of the 1991 expenditure need to be authorized in order to have them available for use this season. Specifically, it is my recommendation that authorization be given at this time for the preparation of bidding specifications for the equipment highlighted on the attachment. I am comfortable that this will allow timely acquisition of this equipment such as the mowing equipment and brush chipper such that they can be fully utilized this coming growing season. The remaining elements on the expenditure list will be brought back to the Council for specific consideration at a later date. • • • • • 1 II IICITY OF CHANHASSEN BID TABULATION FOR II TWO (2) 3/4 TCN PICK-UPS CNE 35,000 LB CAB-CHASSIS SSIS I C O N T R A C T O R TWO (2) 3/4 T C N PICKUPS DUMP TRUCK BID BOND IASTLEFORD INTERNATIONAL $32,800.00 Yes $29,030.00 IBOYER FORD TRUCKS $29,280.00 $32,800.00 Yes IIGROSSMAN CHEVROLET CO.
