5b 1999 Halloween Party EvalCITYOF CHANHASSEN MEMORANDUM TO: Todd ttoffinan, Park and Recreation Director FROM: Tracy Petersen, Recreation Supervisor DATE: October 26, 1999 SUB J: 1999 Halloween Party Evaluation The annual Halloween Party, lneld on October 23, 1999 at tine Clmnhassen Recreation Center, was a successful event. Over 1,200 kids and parents enjoyed an evening of entertainment, games, refreshments, trick-or-treating, and lmy rides. Tile tbllowing are general comments I lnave regarding the components oftlnis event. [ Hay Rides 2 Imy racks seemed to work well within the three hour time frame of the event. Lines tbr a ride were no longer than 10 minutes in lengttn. · Use of tile grass area in front of tlne Recreation Center aided in providing better lines and an overall better safety route. · Use of the nortln doors oftlne Recreation Center to exit people to tile hayrides provided a better traffic flow witlnin tine building. Musical Entertainment · The Touch of Magic "Oscar and Half Pint" show was a hit again this year. · The show was changed for our party this year; I xvould continue to tnave them clmnge tlneir show or switch to a new group next year. · Allowing tlne entertainment to have tine entire gym seemed to work well for both the entertaimnent group and the audience. Face Painting · Moving the face painters to the school gym provided for overall better traffic and line control. · By booking four painters, everyone had ample opporttmity to have their face painted and lines were kept to a minimum. Todd Hoffman, Park and Recreation Director October 26, 1999 Page 2 [ Refreshments ] Moving the refreshment room to rooms #3 and #4 provided for better traffic flow. · Cookie selections could be limited to two types for next year. · Continue to have ample volunteers to keep this room clean and moving smoothly. Games · The use of the school gym for the games worked well. The amount of people that participated in this activity helped with traffic flow and also provided another fun event for families to enjoy. · Providing games does require the use of more fimds for prizes, etc. [ Volunteers/CRC Staff · The use of the Girl Scouts, Chaska High School Honor Society, Park Commissioners, and local business volunteers were key to the success of this event. · Coordinating event registration, set up and clean up with the Recreation Center staff is key to running a successful event. General Comments ] · The lobby set-up for walk-in registrations worked well mad assisted in alleviating any initial congestion at thc event. · Moving the "scary room" to rooms #1 and #2 allowed participants to enter this activity immediately upon arrival to the Recreation Center. · Continue to have costumed characters hand out candy further down the hallway to assist with traffic flow. · Continue to explore new ideas/activities; with the majority of children attending under the age of 8, it is important to have enough variety to make it worthwhile. · Continue to make use of the school gym in some capacity. Continue to have the event run from 5:30 - 8:30 p.m. This significantly helped with parking, traffic, and the general overall success of the event. · Put the times of the entertainment shows on the activity flyer.
