Stutzman, Recreation SupervisorJW-5 DATE: November 5, 2007 SUBJ: 2007 Halloween Party Evaluation The annual Halloween Party, held on October 27,2007 at the Chanhassen Recreation Center, was a great success. Approximately 800 children and parents enjoyed an evening of entertainment, games, refreshments, trick-or-treating, and hayrides. The following are general comments regarding the components of this event: Hayrides · One hay.wagonworked well within the time frame of the event, as lines were never an. issue.. · Having the hayrides in the grassy area in front of the Recreation Center worked well. This location provided great visibility as party-goers entered the building.. · A sign wasplacedoutfront,butadditionalsignage maybe helpful. Entertainment · A Touch of Magic provided DonBl and his Variety Show. DonB !put on a great show involvingjuggling,sleight of hand magic tricks, music and jokes, and riding several different sized unicycles. Overall the show was very entertainingandreallygotthe..audienceinvolv.ed.His sound system wasn'tloudenough,but .we worked. to overcome this. Next year I will look to bring out our sound system to prevent · this from. happening again. · Moving the entertainment back from the bleachers worked well. This allowed. for more. seating and better . overall traffic . flow. Face Painting · Continue having the face painters in. the back comer of the school gym. This provides for overall better traffic flow and line control. · Three face painters worked well. Lines. were never out of control. The City of Chanhassen · A growing community with clean lakes, quality schools, a charming downtown, thriving businesses, winding trails, and beautiful parks. A great place to live, work, and play. Mr. Jerry Ruegemer November 5, 2007 Page 2 Refreshments . Continue using Rooms 3 & 4 for refreshments. Continue having ample volunteers to keep this room clean and running smoothly. Provide plastic gloves for people working with the cookies. . . Games . The use of the school gym for the games worked well. It helps keep the traffic flowing. Having an ample number of volunteers is crucial to running the games smoothly. . Volunteers/CRC Staff · The use of Chaska High School Key Club, Park & Recreation Commissioners, and other local volunteers were key to the success of this event. · Coordinating event registration, setup and cleanup with the Recreation Center staff is essential to running a successful event. The Recreation Center Staff was a very big help to this event. General Comments · The lobby setup for walk-in registrations worked well and assisted in alleviating any initial congestion at the event. · Continue using the school gym for games. · Continue setting up the kids candy guess and the adult raffle in the gym. This helps with general traffic flow in the lobby area. · Reserve Conference Room 1 from Friday morning until Monday morning. This will give us a place to store supplies over the weekend. · Pizzas seemed to be a big hit this year with the volunteers. Next year we will need to order about 15 or 16 pizzas. · Having the "scary room" in Rooms 1 and 2 allowed participants to enter this activity immediately upon arrival to the Recreation Center. · Look at adding one more game to keep the lines down. · We provided a "photo opportunity" only this year and had parents take their own pictures instead of us giving out a free photo this year. No complaints were heard. One volunteer was placed in the area to help assist children where to stand. This worked well and should be done again next year. Creating a photo opportunity with a sign "Chanhassen Halloween Party" would make a nice addition to the photos as well.
