Stutzman, Recreation Supervisor DA TE: February 5,2008 SUBJ: 2008 February Festival Evaluation Food and Drink Concessions The Chanhassen Rotary Club operated th~ concessions at this year's festival. With the weather being perfect, their sales were steady the entire day. They did not sell beer this year; however, we did talk about the possibility of selling beer in the future. I would invite them back to next year's festival. Bonfire The bonfire was extremely popular the entire festival. There was always a crowd of people around it. For next year, I recommend having some extra wood nearby so that we can keep it burning a little longer as there was not much fire left toward the end of the festival. I would recommend keeping this feature for next year's event and possibly add a second fire. S'more CookoutJBait Sale Chanhassen Boy Scout Troop #330 sold s'more kits and bait again at this year's festival. They were successful selling bait, and due to the popularity of the fire, did well on s'more kits, too.. I would recommend inviting them back to next year's festi val. Skatine: Rink This was a wildly popular location at the festival. People of all ages were utilizing the ice rink for fun. It allowed for an alternate activity within view of the fishing contest area. Next year I might look into adding a skating loop to the general skating area, weather permitting. Slidine: Hill The sliding hi II was not utilized much this year due to its distance from the lake. It is a great activity to have in addition to the fishing contest, weather permitting, but I would look into finding a new location for this activity. I would recommend that the sliding hill be incorporated into next year's February Festival. The City 01 Chanhassen · A growing community with clean lakes, quality schools, a charming downtown, thriving businesses, winding trails, and beautitul parks. A great place to live, work, and play. Mr. Jerry Ruegemer February 5, 2008 Page 2 Medallion Hunt The Friends of the Library developed the clues for this year's medallion hunt. The clues were given out the week leading up to Feb Fest. I would recommend that we continue the Medallion Hunt in the same capacity next year as it gets the community more involved. A statement should also be made warning the public not to destroy areas of the city when looking for the medallion. Ice Fishin2 Contest A total of 1275 tickets were sold for the contest-293 tickets were sold through advance sales and 982 were sold the day of the event. Ticket sales were up from 2007 and the contest went smoothly and there were roughly 65 fish caught and weighed! General Comments/Su22estions . We labeled the door prizes on the master list with a number that corresponds with the prize (#1, #2, etc.). This made it easier for prize board volunteers to disperse prizes. . Continue announcing door prize winners by both their name and by their ticket number. A lot of people don't pay attention to their ticket number. This helps alleviate all the congestion in front of the prize board after the contest. . Continue putting a black mark on the back of each winning door-prize ticket. This makes it a lot easier to find any unclaimed winners. . Classes from Bluff Creek Elementary School created fish ill cards and rules on a lanyard. These were extremely popular and I would recommend finding a way to continue to have groups create these in the future. I would also recommend they create 500-600 cards. . Look into adding other non-fishing activities that can still view the fishing contest area; perhaps something like hayrides on the ice. . With the festival growing, it may be worthwhile to look into a larger tent with a divider. This could allow for the Bingo sponsored by the Friends of the Chanhassen Library to be under the tent in addition to the prizes, weigh-in station, and allow food service to be completely under the tent. . Have picnic tables by the ice rink allowing people to sit and watch the rink as well as change boots and skates. 2008 FEBRUARY FESTIVAL Expense Report REVENUE Ticket Sales AMOUNT $6,375.00 EXPENSES Southwest Publishing Skyway Event Services Sheraton Bloomington Hotel Imperial Porta-Palace Cabin Fever Sporting Goods Brengman Printing One-of-a-Kind Design Minnesota Gambling Control Board Minnesota DNR Fishing Permit Supplies for program AMOUNT $1,411.60 $ 838.16 $ 743.93 $ 400.00 $1,319.52 $ 191.70 $ 170.00 $ 50.00 $ 120.00 $ 142.07 Total Expenses $ 5,386.98 TOT AL EXPENSES: TOT AL REVENUE: BALANCE: $-5,386.98 $ 6.375.00 $ 988.02
