Stutzman, Recreation SupervisoJk5 FROM: DATE: {\\\ March 25, 2008 SUBJ: 2008 Easter Egg Candy Hunt Evaluation The Chanhassen Park and Recreation Department's Easter Egg Candy Hunt was held on Saturday, March 22 at the Chanhassen Recreation Center. There were 228 kids registered for this event. The total number of participants is slightly lower than last year's of 255 and this is being contributed to the snow on the ground that caused us to move all activities inside. There were 147 pre-registered participants and 81 registered the day of the event. Shawn Sweeney provided the entertainment for this year's event. This was the second time Shawn has performed at our event. He did a great job and is very easy to work with. He had great crowd participation .as well. Volunteers from the Chaska High School Key Club were a tremendous asset with setup, cleanup, candy distribution, and wearing the bunny costume. Volunteers provide such a great service at these types of events. They will be asked to help again next year. City staff and their families were also extremely helpful in running this event as many of them stepped up and volunteered their time as well. I recommend that the Easter Egg Candy Hunt continue to be held at the Chanhassen Recreation Center. It offers great flexibility for all weather conditions. Due to the winter weather, the "candy hunt" was moved inside and passed out trick-or-treat style with the eggs mixed in with the candy. Overall this worked well. Some people were disappointed but did understand with the weather conditions. I would recommend conducting the candy hunt in the same way if winter weather is a factor on the day of the event. In keeping with our goal of providing high quality programs throughout, we again used color posters made by city hall front office staff for all aspects of the event, i.e. coloring contest categories, sponsorship thank you posters, registration table signs, and directional signs. As a bonus, there was a prize drawing for parents as well. This year's prizes included a free sundae at Culvers/Chanhassen, two $15 gift certificates to Byerly's, and one $25 gift certificate to the Mustard Seed Landscaping and Garden Center. The City 01 Chanhassen · A growing community with clean lakes, quality schools, a charming downtown, thriving businesses, winding trails, and beautiful parks. A great place to live, work, and play. Mr. Jerry Ruegemer March 25, 2008 Page 2 RECOMMENDA TIONS FOR 2009 ~ Continue holding the event at the Chanhassen Recreation Center. ~ Once again do not list the start times for the candy hunt. ~ Continue having the Key Club and other volunteers set up the morning of the event. ~ Registration and check-in tables should be put on both sides of the hallway again. This forced participants to walk through and check-in or register. ~ Continue handing out candy bags to kids as they leave the registration table. ~ I would recommend finding new entertainment to provide variety each year. ~ I would look to increasing the price to $5 for anyone who shows up the day of the event to encourage people to pre-register, but keep the pre-registration price at $3. 2008 Easter E22 Candy Hunt Revenue Pre-registration: 147 participants Registrations at the Door: 92 participants $ 441.00 $ 243.00 $ 684.00 Expenses Target: Candy, prizes, etc. Cud Foods: Supplies for volunteers Musical Entertainment Oriental Trading Company: Bags, eggs, stickers, etc. Pilgrim Cleaners: Dry Cleaning $1,091.23 $ 6.99 $ 500.00 $ 52.71 $ 22.78 $1,673.71 Total Expenses - $ 989.71
