Stutzman, Recreation Supervisor j t,5 FROM: DATE: April 13, 2009 SUBJ: 2009 EasterEgg Candy Hunt Evaluation The Chanhassen Park and Recreation Department's Easter Egg Candy Hunt was held on Saturday, April 11, 2009 at the Chanhassen Recreation Center. There were 226 kids registered for this event. The total number of participants is two less than the 2008 total. There were 158 pre-registered participants and 68 registered the day of the event. I believe there are several different factors for the attendance decline at this event. First, we are seeing many competing events in surrounding communities. Also, people are being more selective of the activities for their families to participate in. Sticks and Tones provided the musical entertainment for this year's event. This was the first time they performed at this event. They did a great job and are very easy to work with. They had great crowd participation with many kids right up front dancing. V olunteers from the Chaska High School Key Club were a tremendous asset with setup, cleanup, candy distribution, and wearing the bunny costume. Volunteers provide such a great service at these types of events. They will be asked to help again next year. City employees were also extremely helpful in running this event as many of them stepped up and volunteered their time as well. I recommend that the Easter Egg Candy Hunt continue to be held at the Chanhassen Recreation Center. It offers great flexibility for all weather conditions. The candy hunt was held outside in a designated area on the soccer fields north of the Recreation Center. Parents and onlookers surround the area with good visibility of the candy hunt. Participants were divided into three age groups, 4 and under, 5-8 and 9-12, creating an environment that is safe for all participants. I would recommend continuing to run the candy hunt in this fashion in the future. In keeping with our goal of providing high quality programs throughout, we again used color posters made by city hall front office staff for all aspects of the event, i.e. coloring contest categories, sponsorship thank you posters, registration table signs, and directional signs. I would also look for new low-budget additions to the celebration to continue to build on the success of this event as there are so many options available to people. Continuing to find ways to improve this event should ensure consistent attendance. Chanhassen is a Community for Life - Providing for Today and Planning for Tomorrow Mr. Jerry Ruegemer April 13, 2009 Page 2 RECOMMENDA TIONS FOR 2009 ~ Continue holding the event at the Chanhassen Recreation Center. ~ Once again do not list the start times for the candy hunt. ~ Continue having the Key Club and other volunteers set up the morning of the event. ~ Registration and check-in tables should be put on both sides of the hallway again.
