5c. ChanJam '11 MEMORANDUM TO: Jerry Ruegemer, Recreation Superintendent CITY FROM: John W. Stutzman, Recreation Supervisor CHANHASSEN DATE: March 23, 2011 7700 Market Boulevard PO Box 147 Chanhassen, MN 55317 SUBJ: ChanJam '11 Administration The fourth annual ChanJam Battle of the Bands was held Friday, March 18 at the Phone: 952.227 1100 Chanhassen Recreation Center. It was a challenging year for this event, with staff Fax: 952.227 1110 working to overcome obstacles of finding an optimal date for high school students Building Inspections and recruiting bands. The show was conducted a month earlier than previous Phone: 952.227 1180 years in an effort to avoid spring break, proms, etc. Fax: 952.227 1190 A total of 5 bands were selected to participate; however, one band withdrew the Engineering week before due to a family emergency. The bands represented Chanhassen, Phone: 952.227 1160 Chaska, and Minnetonka High Schools. Paid admissions totaled 120. Fax: 9522271170 Additionally, 20 band members and 15 volunteers stayed and supported all of the Finance bands; which brought the total attendance to 155 people. Attendance was down Phone: 952.2271140 this year, which can be attributed to fewer bands participating; however, staff was Fax: 952.227 1110 pleased with the turnout considering that only four bands competed. Park & Recreation The winning band, declared by a panel of judges, was The Hub from Minnetonka Phone: 952.227 1120 High School. They received a prize pack provided by our generous sponsors Fax: 9522271110 including McNally Smith College of Music, MacPhail Center for Music, and Recreation Center Shell Lake Arts Center. The Hub also has been invited to open for Casablanca 2310 Coulter Boulevard Orchestra on July 3rd and to play on the Music Mayhem stage at the Minnesota Phone: 952.227 1400 State Fair. The judge's panel was composed of Jerry Eskridge and Melanie Moos Fax: 952.227 1404 from Casablanca Orchestra, as well as Joseph and Andy from Paul Green's School of Rock. Staff appreciates the service and time committed by all of the Planning & judges. With the lower attendance, food service was not as busy as staff would have liked, but it Public Works still is a welcome service for concert goers. 1591 Park Road Phone: 952.227 1300 Dan Scott and Partners in Entertainment provided the sound, lighting and staging. Fax: 952.227 1310 They are easy to work with and very affordable. They provided first -rate Senior Center equipment and a professional show. In addition, this has proven to be an event that is fun for the whole family. It is highly recommended that this program be continued in future years. RECOMMENDATIONS FOR 2011 • Evaluate the benefits of moving the concert from spring to November to increase participation. • Evaluate the selection process to possibly include bands from outside of the high schools that serve Chanhassen. If this is done, bands from local high schools should receive priority in the selection process. • Continue to have only one food vendor and place them in the hallway for increased visibility. • Look at the possibility of relocating the event to one of the theatres at Chanhassen High School. The cost associated with theatre rental should be comparable to the current stage rental. • While word of mouth continues to be the best form of marketing, continue to look for new ways to reach out to families to advertise this event. • Continue to work with McNally Smith College of Music, MacPhail Center for Music, Paul Green's School of Rock, and Shell Lake Arts Center as contributing sponsors of the event. • Continue to invite the Chanhassen Key Club to help with ticket sales and general event management. • It is recommended that 10 bands be the capacity for the event. g: \park \johns \chanjam\2011 \2011 eval.doc 2011 ChanJam Concert Revenue Admission at the Door: 120 participants $ 600.00 Expenses Stage Management, Sound /Lighting System $ 350.00 Stage Rental /Installation/Removal $ 691.37 Executive Ocean $ 25.38 Merlin's Ace Hardware $ 22.42 Target $ 37.02 $1,126.19 Net Revenue -$ (526.19)
