4 Chan Rec Center Policy CITY OF ,4- 690 COULTER DRIi~1~)P~O3~B1090X01~7F;X~¢2~3A7SS57E3N~ MINNESOTA 55317 MEMORANDUM TO: FROM: Todd Hoffman, Park and Recreation Director Patty Dexter, Recreation Supervisor DATE: February 20, 1997 SUB J: Proposed Amendment to the Chanhassen Recreation Center Rental Policy As you are aware, on January l, 1997 a revised rental policy for the Chanhassen Recreation Center (CRC) went into effect. I have had an opportunity to review the new policy, which has been in place for approximately 40 days. The customer response to the new policy has been favorable with the exception of the administrative fee. Examples against the administrative fee include: 1) Group I - Cub Scouts, Jaycees, etc. prior to 1/1/97 pay $7.50 hr. l-hr their evening meeting. Now they are charged $25 lbr an evening meeting. Group II - A private birthday party rental on the average cost $70 prior to 1/1'97. Now for the same time and rooms, the cost is $110. Group III - With the increase in room rental rates and an additional administrative fee, non-resident groups are reconsidering their rental at CRC. Some renters have still reserved space while others have gone elsewhere. The consensus is that community organizations (Group I) are having difficulty affording the CRC at a cost of $15 or $25 a rental. Some have elected to stay with the CRC, while others are being accommodated elsewhere. At this time it is difficult to predict what percentage are going elsewhere. STAFF RECOMMENDATION In an effort to provide clarity and consistency throughout the rental policy, both for the customer and Chanhassen Recreation Center, staffrecommends that the administration fee be eliminated except in cases when a cancellation notice is received less than 48 hours in advance of the scheduled event. g:\park\pattykrec.ctr\policyamend.mem
