MEMORANDUM
TO:
Todd Hoffman. Park and Recreation Director
FROM:
Jerry Ruegemer. Recreation Superintendent
DATE: August 15, 2000
SUB J:
Dave Huff'man 5K Memorial Race
The 5K race seemed so far away when the planning first started. Now we arc one
month away! The Race Committee has been very busy planning every detail.
This past weekend the Chanhassen Boy Scouts handed out race flyers at Byerly's
and Festival Foods fi'om 10 am - 2 pm. We are trying different promotion
techniques to get the word out. There also will be display ads in the Villager
which they have donated. Race inlbrmation is currently on the interact at
www.racebcrrviam.com on our City web page and flyers have been distributed
around town.
Last week I met ~vith Mike Wegler, Street Superintendent, to discuss the race
route. Many of the details with cone and sign placement, necessary street
closures, and other items have been completed. Mike has also committed to work
the day of the race.
Every person who registers tbr the race will receive a long sleeve T-shirt. The T-
shirts were ordered from a local group (The Promotions Group) and will be
delivered the afternoon of August 15. The Promotions Group gave us a pretty
good deal on the cost of the shirt and Spectrum Screen Printing of Plymouth will
be screen printing the shirts at no cost.
Race Committee member Howard Anderson has been coordinating volunteers.
Howard has developed volunteer duties and responsibilities, locations where
volunteers are to be along the race route, and many other categories. Howard
determined a total of 67 volunteers are needed the day of the race and at this time
we are in good shape.
I will be meeting with John Kragness with Southwest Metro Transit on August 22
to discuss the bus logistics. Southwest has donated 4 full size buses to transport
runners and spectators to and fi'om Lake Ann Park to the Americhm on race day.

Race Committee member Ken Garvin and I will be meeting Race Director Rich Recker on
Saturday morning August 19 to certify the race course. Rich likes to see the course before the
actual race so he is familiar with it.
There is much to do yet with the race. A lot of signage is in the works and they include
sponsorship, race route parking, etc. Having the Race Committee certainly has been nice for
dividing the workload. If you have any ideas regarding logistics or any other part of the race, I
welcome your suggestions.
